Sign a contract using Zoho Contracts

Prerequisites
Before proceeding, ensure you:
  1. For HR: have access to the "Contracts" module in Zoho Contracts
  2. For the counterparty: make sure you provided a valid email address and have access to it
  3. To start the signing process: ensure a new contract has been created and sent for negotiation. Check the "Create a contract for a recently hired employee using Zoho Contracts" for more information

Sign a contract

Depending on the approval workflow, an email is going to be sent to the negotiators. To review the contract, click the "Review contract" included in the e-mail:


This will take you to a new website. Here, you need to specify a code that is also going to be sent to your e-mail. If you don't receive it, click the "Request password" link [1]. After entering the code, press "View" [2]:

 

Now, you can review your contract and press the "Finish review" button when you finalize the checking process:



Please take into account these observations:

  1. If you edit something within the contract, the HR employee is going to receive a notification. This way, you can edit the contract to correct something.
  2. If you highlight some text and right click on it, you can add comments to better explain a situation:


  1. You can request to add reviewers to the process. This way, you can include other people in the process of checking the contract


Remember to click the "Finish review" button once everything is checked.



Now, HR employee will receive a notification confirming the review that was made by the new employee. In Zoho Contracts, a new form appears showing if there were comments or changes:


If everything is correct, access the contract through the "Contracts" module and mark it as negotiated:


Now, press the "Send for signature" button:


If you haven't added signers yet, the system is going to ask you to do it now. Press the "Add signers":

Add both the organization representative and the counterparty representative and press the "Save and send" button:



Finally, select one of the recipients to the right [1] and drag and drop the necessary field from the list in the bottom [2] to place it where the person needs to sign. This will define where the parties have to sign, put their name, initial, etc. Press "Send" when everything is correctly set:



Now, everyone involved in the process will receive an email asking them to sign the contract. Click the "Start signing" button:


This will take you to a new website. Press the "Send OTP" (One Time Passcode) button. This will generate a new code that is going to be sent to your e-mail account:


After entering the number and accessing the contract, ensure you acknowledge the "electronic record and signature disclosure": on the top of the screen:



Now, select every part of the contract that needs to be signed and enter de appropriate information [1]. When done, press "Finish" [2]:
