Setup leave (time-off) policies in Zoho People

This article covers how to configure time-off policies, and how can an employee request time off. Time off policies define the different scenarios under which an employee can leave. For example, they can take some time off if they are sick, are attending a family event, want some vacations, etc.

Before proceeding, ensure you:
  1. Have access to Zoho People module
  2. Have permissions to access de settings panel of Zoho People, for these options can be only accessed by authorized users 
Idea
Setup the time-off policies
Configuring a time-off is something that needs to be done just one time. Once the policy is correctly configurated, it's possible for an employee to use it to request free time. To configure these templates, navigate to Settings - Time off - Configuration and then "Leave policies":


Here, you have the list of existing policies. To create a new one, click on "Add leave policy" button. Choose the type of time off to be configured:

 
There are four type of policies you can create:
  1. Fixed entitlement: a fixed amount of leave, for example, 15 days 
  2. Experience based entitlement: defines a variable amount of leave based on the employee's years of experience
  3. Grant based entitlement: credits special leave to specific employees based on a request, for example, maternity leave
  4. Attendance based entitlement: a policy that credits leave to employees based on their worked hours or days
Fill all the fields as required for each section. For example, for fixed entitlement policies, fill first the "Details & entitlement":



Then, need the "Applicability". This describes which employee can apply to this policy within the company. This makes it easy to define if the policy applies only to a department, gender, designation, role, marital status, etc. and if there is any exception:


Lastly, define any restriction. Restrictions prevent the policy from being executed under certain circumstances:

 

Each policy has specific information that needs to be filled. Information like the name, type, entitlement, how often it has to be reset, valid from, valid to, etc. Also, remember that each policy has it's own requirements and should be configured according to companies needs. 

Once the information is correctly configured, press the "Save" button, located on the left lower corner of the form.
